Restaurant Staff Training SOP Template

Purpose and Scope

This Standard Operating Procedure (SOP) sets out the training requirements for all personnel at [Organisation Name]. It details the complete training path for front-of-house, kitchen, and back-of-house roles, including food safety, allergen management, shadowing, competence sign-off, and ongoing training updates.

This procedure applies to everyone on the operational rota, full-time, part-time, casual, and agency staff, starting from their first shift at [Site Name].

This SOP operates alongside [Organisation Name]’s overall food safety management system (such as a HACCP-based plan). If any conflict arises between this SOP and the food safety management system, the requirements of the food safety management system take precedence.

Roles and Responsibilities

  • [General Manager / Site Owner]: Holds overall accountability for this SOP and the site training matrix. Ensures staff complete all required training and sign-offs.
  • [Head Chef / Kitchen Manager]: Sets and oversees kitchen and back-of-house training content and station sign-offs.
  • [Restaurant Manager / Front-of-House Manager]: Sets and oversees front-of-house training content and customer service sign-offs.
  • [Shift Managers / Supervisors]: Deliver or arrange operational training, run knowledge checks, and log training records during the shift in which the training occurs.
  • [Training Buddies]: Experienced staff designated in advance to shadow, instruct, and evaluate new team members.
  • All Staff Members: Must not run a station, section, or piece of equipment independently until signed off. Staff must never guess answers to customer allergen inquiries.

Core Training Path

Before working their first operational service, every staff member must complete orientation training covering:

  • Building fire and emergency procedures, including evacuation routes, assembly points, and mid-service emergency actions.
  • Accident, incident, and near-miss reporting processes.
  • Personal hygiene standards and fitness-to-work rules, including mandatory illness reporting and exclusion periods.
  • Basic allergen awareness, including the location of the allergen matrix, escalation pathways for customer inquiries, and the strict policy against giving unverified allergen information.
  • Core workplace standards, including attendance, uniform rules, register handling, and policies on serving alcohol to intoxicated customers.

Front-of-House Training Path

Front-of-house staff must complete training and achieve sign-off in these operational areas:

  • Menu Knowledge: Complete understanding of all dishes, ingredients, prep methods, and menu features. Any menu change requires re-evaluation.
  • Allergen Management: Procedures for taking allergen requests, communicating special requirements to the kitchen via [Order Management System], checking plates at the pass, and managing uncertain inquiries by checking facts or offering safe alternatives.
  • Service Standards: Greeting procedures, order taking, table service protocols, customer complaint handling, and approved limits for service recovery or refunds.
  • Systems and Point of Sale (POS): Operating the POS system, table management systems, and end-of-shift reconciliation processes.
  • Age-Restricted Sales: ID checks, refusal-of-service protocols, and premises licensing conditions.

Kitchen and Back-of-House Training Path

Kitchen and back-of-house staff must complete training and achieve sign-off in these operational areas:

  • Station-Specific Food Safety Controls: Temperature monitoring and logs, cross-contamination prevention, allergen separation, date labelling, stock rotation, and station cleaning schedules.
  • Station Competence: Individual sign-off is mandatory for each section (such as prep, larder, grill, fry, pastry, or pot wash). Competence on one station does not authorize a staff member to run a different station.
  • Equipment Safety: Safe operation of kitchen machinery and correct knife handling, including age-restricted or equipment-specific certification rules.
  • Deliveries and Receiving: Checking incoming goods against safety standards, rejecting compromised deliveries, and executing first-in, first-out (FIFO) stock rotation.
  • Chemical Safety and Facilities: Safe handling and storage of cleaning chemicals, waste disposal procedures, and pest control awareness.

Food Safety and Allergen Training

Food safety and allergen training schedules depend on job roles and local legal requirements:

  • Initial Hygiene Briefing: Basic food hygiene principles, including proper handwashing, personal hygiene, and fitness to work, must be delivered and recorded before any staff member handles food.
  • Formal Hygiene Training: Within [Timeframe] of starting employment, staff must complete formal food hygiene training aligned with local food safety authority standards for their specific role.
  • Allergen Training: All personnel who take orders, prepare food, or deliver dishes must train on the allergen matrix, kitchen cross-contact prevention, and standardized customer communication rules.
  • Allergen Matrix Maintenance: The master allergen matrix is stored at [System/Location]. Managers must update and verify it before introducing any menu or recipe changes to service.
  • Certifications: Where formal certifications are required, file copies in the employee’s training record. [Role] tracks expiration dates.

Shadowing Structure

Training for operational roles must follow this sequence:

  1. Assignment: Pair the trainee with a designated Training Buddy who is verified as competent on that specific role or station.
  2. Observation: The trainee shadows the Training Buddy for [Number] shifts to observe standard operating procedures and ask operational questions.
  3. Assistance: The trainee works alongside the Training Buddy, who provides immediate feedback and corrections.
  4. Lead Execution: The trainee runs the station or role under direct observation of the Training Buddy for at least [Number] shifts, including at least one peak service period.
  5. Competence Evaluation: [Manager / Head Chef] assesses the trainee against the standard training matrix. Sign-off depends on demonstrated task competence, not hours completed.
  6. Authorisation: Until formal sign-off is complete, trainees cannot run a section, station, or shift independently.

Records and Verification

Document every completed training session immediately upon completion. Training records must capture:

  • The specific module or station trained, date of training, and names of trainee and trainer.
  • The assessment method used (such as practical observation, oral knowledge check, or dish prep testing) and the result.
  • The specific version of the menu, allergen matrix, or procedure used during training.
  • The due date for the next refresher training.
  • Formal confirmation from both trainee and trainer on the shift the training occurs.

Retain training records in [System/Location] for [Retention Period]. Keep them available for internal audits, statutory inspections, and insurance reviews.

Refresher Cadence

  • Scheduled Refreshers: Refresh food safety and allergen training at least every [12 months], or more frequently if required by local food safety regulations or licensing conditions.
  • Menu Refreshers: Conduct menu knowledge training before every menu change.
  • Unscheduled Refreshers: Regulatory inspection findings, food safety or allergen near-misses, service complaints pointing to training gaps, changes to equipment or operating procedures, or employee absences exceeding [Number] weeks trigger immediate refresher training.
  • Lapsed Sign-Offs: Missing a mandatory refresher suspends a staff member’s station sign-off. The individual cannot run the affected station or take allergen orders until training is complete.

New Menu Rollout Procedure

When updating or introducing menu items, execute the following workflow:

  1. Update the master allergen matrix and dish specification sheets before serving any new dish to the public.
  2. Run practical kitchen training covering preparation, portioning, cooking methods, allergen management, and holding procedures for each new dish. Record sign-offs by station.
  3. Hold front-of-house briefings featuring menu tastings and specification crib sheets that detail ingredients, descriptions, and potential allergens.
  4. Update the POS system and confirm that printing dockets display allergen indicators correctly before the first service.
  5. Perform knowledge checks for front-of-house and kitchen staff before they work a shift with the new menu items. Train staff who were absent during main briefings before their next active shift.
  6. Record rollout details, including the implementation date, menu version, participant list, and authorising manager.

Review and Governance

[Job Title] owns and maintains this SOP and the associated training matrix.

Review this document every [12 months], or immediately following major menu changes, new kitchen equipment installations, recorded safety incidents, or updates to food safety legislation.
