US Staff Training SOP Template

Purpose and Scope

This Standard Operating Procedure (SOP) details how [Organisation Name] identifies training needs, delivers training, verifies understanding, and maintains official records.

It applies to all employees, including those in introductory periods, as well as designated temporary staff and contractors. The goal is simple: no worker performs tasks unsupervised until they are fully trained and verified as competent.

This procedure creates no employment contract and does not alter at-will employment status.

Responsibilities

  • [Designated Role]: Owns this procedure and the organization’s training matrix. Conducts regular reviews and maintains system integrity.
  • Trainers and Onboarding Leads: Deliver training using approved methods, evaluate comprehension, and record completion immediately upon delivery.
  • Employees: Complete assigned training on time and demonstrate required competency.

Training Needs and Onboarding

Identifying Training Needs

  • Maintain a master training matrix listing each role alongside required topics: regulatory standards, hazard communication, job-specific procedures, and equipment operation.
  • Review the matrix whenever a role changes, new equipment or procedures arrive, or an incident/near-miss reveals a training gap.
  • Generate an individual training plan from the matrix for each new hire before their start date.
  • Assign a designated trainer and target completion deadline for every required item.

Onboarding Requirements

New hires must complete onboarding training before working unsupervised. Onboarding covers:

  • Core safety topics: emergency action plans, evacuation routes, first aid procedures, injury reporting, and job-specific hazards.
  • Required policy acknowledgments (e.g., safety policies, code of conduct, IT acceptable use, anti-harassment).
  • Job-specific operating procedures specified in the role’s training matrix.
  • Assignment of a named onboarding supervisor and a clear completion timeframe (e.g., [one week / two weeks]).

Job-Specific and Refresher Training

  • Set refresher schedules in the training matrix based on topic criticality, regulatory rules, or internal policy (conducted at least every [twelve months] when no specific standard applies).
  • Trigger out-of-cycle refresher training after major procedure updates, operational incidents, or an employee’s return from extended leave.
  • Log the exact version number of the procedure or training content used during every refresher session.

Delivery and Assessment Procedure

  1. Assign Training: Issue the requirement with a clear due date and state the criteria for passing.
  2. Deliver Content: Deliver training using an appropriate format (e.g., written procedure review, walkthrough, practical demonstration, or supervised practice) in clear, understandable language.
  3. Assess Understanding: Verify comprehension through a structured knowledge check or practical evaluation. Require a passing score (e.g., [80%]) or demonstrated proficiency; attendance alone does not prove competence.
  4. Remediate and Reassess: Provide extra instruction and re-evaluate any employee who fails to meet the standard. Never sign off on training until the worker proves competence.
  5. Document Verification: Ensure both the employee and trainer sign off at the exact time training occurs. Retrospective creation of training records is strictly prohibited.

Records Management

[Organisation Name] maintains an individual record for every worker. Each record must contain:

  • Title of training completed, completion date, and name of trainer or verifier.
  • Exact version of the procedure or content covered.
  • Evaluation method used and final assessment score/result.
  • Scheduled date for the next required refresher.

Keep training records for [duration of employment plus X years] or as required by regulatory standards. Ensure records are readily accessible for internal audits and official inspections.

Review Cycle

[Designated Role] reviews this procedure and the training matrix at least every [twelve months], or immediately after significant changes to operations, equipment, procedures, or legal requirements.

FAQs on a staff training SOP

01What is a staff training SOP?

A staff training SOP details how your organisation identifies training needs, delivers training, verifies understanding, and maintains official records.

Having it written down means the same rules apply to everyone, so managers are not making judgement calls case by case under pressure.

02What does a staff training SOP include?

This template covers training needs and onboarding, job-specific and refresher training and delivery and assessment procedure.

Every section is written to be filled in. The bracketed placeholders mark the decisions that are yours to make, such as timescales, approval owners and retention periods.

03How to implement a staff training SOP with Whale

Copy this template into Whale and work through the bracketed placeholders so it reflects how your organisation actually operates.

Assign it to the teams it applies to so it sits where people work rather than in a shared drive, and set a review date so it gets revisited on schedule instead of quietly going out of date.
