Can you just show me how to do that again?

Our training is just... a folder of PDFs.

Ops leaders are flying blind on training and SOPs

You already have a library and a team expected to use it. Whale logs every interaction across content, training flows, and search, and turns that activity into a readable picture of what’s landing and what isn’t.

I already explained this 3 times this week.

I don't know... Sarah used to do that.

How teams do it today

No way to tell if the SOPs you built ever get opened

Completion status of training lives in a spreadsheet or someone's head

Managers guess which teammates are struggling with a process

Reporting up means cobbling together numbers once a quarter

With Whale's

Analytics & Reporting

Every view, search, and open is logged against the person and the content

Assignment and training flow progress shows per person in real time

Quiz results and repeated searches flag the teammates who need a hand

Live dashboards and CSV exports give you numbers whenever you need them

Twelve views covering content, training, and search

The Analytics Dashboard breaks down content views, assignments, quizzes, checklists, training flows, guides, search queries, subject matter experts, and team activity. Filter by person, team, board, or date range. Every chart drills down to the underlying records so you can move from a number to a name in one click.
A dashboard displaying assignment analytics, with performance metrics including total sent, open rate, open & overdue rate, and completion rate. The list shows three individuals with detailed stats, facilitating efficient onboarding and process documentation.
A dashboard displays quiz analytics showing 1 total enrollment, 100% open rate, 0% overdue, 0% completed, and an average score of 0%. The table lists 7 users with their quiz performance data, perfect for tracking onboarding progress through detailed process documentation.

Per-person visibility on training and adoption

Open any teammate and see which SOPs they have read, which assignments are still open, and how they scored on every quiz. Open any piece of content and see who viewed it and who skipped it. Managers stop chasing status updates and start coaching the people who actually need it.

Analytics that connect to the rest of Whale

Search analytics surface zero-result queries so you know which SOP to build next. Quiz results flag gaps for Alice, Whale’s AI assistant, to reinforce. CoPilot usage data shows which tools your team pulls SOPs into most. The dashboard becomes your feedback loop for the whole training program.

How it works

Whale logs every interaction automatically

Views, searches, quiz attempts, assignment progress, and CoPilot opens are captured without any setup from you. The moment content goes live, the data starts flowing.

Open the dashboard and filter to what matters

Switch between the twelve views, filter by team or person, and drill into any number to see the underlying records. Save the filters you use often for a one-click report.

Share it or export it

Send a view to a manager, schedule a recurring check-in, or export to CSV for your own reporting. Leadership gets the numbers they ask for without waiting on a pull request.

Frequently Asked Questions

The Analytics Dashboard has twelve views covering content views, assignments, quizzes, checklists, training flows, video guides, search queries, subject matter expert activity, team activity, and more. Every view can be filtered by person, team, board, playbook, or date range. You can see which SOPs are most read, which are stale, who finished training and who didn’t, how people scored on quizzes, what your team is searching for, and which searches return no results. Each chart drills down to the underlying list of users or content so you always move from a number to a specific name or SOP in one click.
Yes. Open any teammate’s profile and you get their full record. Which SOPs they have read, which assignments are open or overdue, how they scored on every quiz, their training flow completion, and their recent search activity. This is the view managers use to run one-on-ones and spot who needs coaching before a mistake happens. You can also group by team or role to compare completion rates across departments, which is the fastest way to find a manager whose team is falling behind on a new process rollout.
Yes. Every analytics view can be exported to CSV or JSON. Exports run asynchronously and land in your inbox, so large workspaces don’t time out. Content can also be exported to PDF for audit packs. CSV and JSON exports are available on the Scale plan and above. Teams in regulated industries use the exports to prove training completion for compliance reviews. Leadership teams use them to pull quarterly adoption numbers without waiting on a Whale admin. If you need a recurring export on a schedule, that is on the roadmap today.
Search Analytics logs every query your team types into Whale, including the ones that return zero results and the ones where nobody clicks a result. Zero-result queries are the clearest signal of what to build next, because a teammate was looking for an SOP that does not exist yet. No-click searches tell you when an SOP exists but the title or structure is not matching intent. Top queries show which processes your team needs most often, which is useful for prioritizing CoPilot rules and training flow content.
The Analytics Dashboard is included on the Scale plan and above. The free plan gives you basic activity and assignment tracking so you can see that your team is using Whale, but the twelve-view dashboard, search analytics, CSV and JSON exports, and per-person deep dives are Scale plan features. Most teams upgrade to Scale once they have enough SOPs and active users that anecdotes stop being enough to run the team. If you want to see the full dashboard before committing, request a demo and we will walk you through a live workspace.
Trainual reports on training completion and quiz scores, but reviewers frequently call out weak search and content discovery, which means you can see who finished a course but not what your team is actually looking for day to day. Scribe is a capture tool with no training flows, quizzes, or assignment tracking, so the analytics layer only covers guide views. Whale reports on all of it in one place. Training completion, quiz scores, content views, search queries, zero-result searches, assignments, and CoPilot usage. One dashboard covers adoption, training, and knowledge gaps, which is why Whale is positioned as AI-Powered SOP Software that gets your team trained.
