Everyone at the firm kept different things in different places, with no uniform way of working. The team needed one knowledge-based system where everything lived in a single place, easy to access, so everyone knew where to go. Finding information should not mean asking a colleague, especially as the firm brought in more specialist attorneys across business practices and estate planning.
We were looking for a way to systematize our policies and our procedures. Everyone had different things in different places and there really was no uniform way of working. We were looking for a knowledge-based system where we could put everything in one place so that it was easier to access and everyone knew where to go to find information.

Once the team learned they could search by keyword, it changed everything. Finding a policy, motion, or letter that used to require asking someone now takes seconds. New team members use the database of sample motions and letters to get up to speed in unfamiliar areas of law, without leaning on a senior colleague. Whale also rolled out onboarding for legal and support staff through automated training flows, with search as the first stop, and that habit has stuck.
As we've grown, onboarding and training became much more important because of efficiency. The result now is that everyone looks on Whale first!

The whole firm now works from the same motions, pleadings, and letters, instead of everyone reinventing their own.
New attorneys get up to speed across practice areas without relying on a senior colleague to answer every question.
Search became the first stop for everyone, so the habit of asking around has been replaced by looking in Whale.
A knowledge-based system is not really intuitive for a lot of law firms. I would highly recommend this to law firms, especially if you have multiple practice areas. It's a great way to put all of your motions or pleadings or letters in one place so that the whole firm is using standardized work product.
